Welcome to the FinDR Frequently Asked Questions (FAQ) section! Here, we aim to provide you with clear and concise answers to common queries about our FinDR platform.

FAQ’S FOR DOCTORS

STEP 1
Create your profile by signing up with your professional details. You will need your HPCSA registration number, a copy of your ID (jpg, pdf, png), and a profile picture (jpg, pdf, png).

 

STEP 2
Once you have completed your profile you will be directed to your online calendar where you can specify your AVAILABLE or UNAVAILABLE dates. You can select multiple days at once or choose one day at a time. You can specify your available dates for as far ahead in the future as you like.

 

STEP 3
Check that you have completed all the information needed on your profile to ensure that your profile is displayed in the very best way which is visible to Practices. Once all is checked, your profile is active and searchable by Practices.

Your Locum Profile is your space to showcase your skills and let Practices know that you are available to locum. Setting availability on your calendar does not guarantee that you will be booked. It does increase the likelihood of a Practice looking at your profile. In order to increase your booking potential make sure that your calendar is up to date, your rates are competitive and your BIO communicates your skill set effectively. The Locum calendar is your space to let Practices know your work schedule. You are able to select individual days and set them as AVAILABLE, indicating that you want to work, or as UNAVAILABLE, indicating that you do not want to work or that you have another appointment. Once you have a booking confirmed this will show up as a Booked Day.

If you do not mark a day or period as UNAVAILABLE then a Practice will be able to send you a booking request indicating that they would like you to work on that specific day or during that period. You are still able to accept or decline this request. We advise that you keep your calendar up to date in order to get accurate booking requests for times that you are available

When a Practice sends you a Booking Request you will receive a notification in your email inbox. You will also have a Booking Request on your calendar. You can accept the booking request via your finDr dashboard. Once you have accepted the booking request it will reflect on your calendar and you will receive an email confirming the details of the booking.

A Locum Agreement template and Locum Invoice template are both available for download here. It is the locum’s responsibility to confirm with the practice the agreed upon rate and payment date. Additionally, it is the locum’s duty to ensure the practice has the correct banking details. Once your locum assignment is complete, you can share the invoice with the practice. It’s crucial for both parties to communicate effectively to avoid any misunderstandings or delays.

As an independent contractor, you as a locum are responsible to oblige by any and all tax regulations of South Africa that may apply to you. Your full locum fee will be paid to your nominated bank account and it remains your responsibility to pay taxes as a Provisional Tax payer and/or declare your locum earnings on your personal income tax return. You can request a payment note/payslip from the practice once your locum assignment has been completed.

FAQ’S FOR PRACTICES

STEP 1
Register your practice and gain access to your Practice Dashboard where you can search for locums near you.

STEP 2
Search for the locum you need on the left side of your Dashboard. Only locums that match your search criteria will show up in your search results. You can choose the one you want.

What if no locums are available on the dates that I need?

You can create a Practice Offer and locums can apply from the practice offers page. You will receive application notifications via email and can accept the locum you prefer. They come to you.

STEP 3
From your search results, you can view more information on each locum’s profile and book the dates you need.

STEP 4
You will receive confirmation of your booking request in your email inbox and on your practice dashboard on FinDr.‍

STEP 5
Once the locum accepts the booking request (or you accept a locum’s application), an automatic confirmation of your booking request is sent to your email inbox.

STEP 6
Your chosen locum arrives as confirmed and shares their FinDr magic at your practice.

What if the Locum does not arrive?

Please get in touch with the FinDr Team immediately and we will do our best to source a replacement locum.

STEP 7
Once the locum assignment has been completed you will receive an invoice for payment

To increase the chances of finding an available Locum we have a “Maybe Booking Request” feature that allows a Practice to send a Booking Request to a Locum even if they have not set the day as specifically AVAILABLE. The Locum will still be able to accept/decline this request. If a Locum has marked a day or period on their calendar as UNAVAILABLE then a Practice will be unable to send a Booking Request to that Locum for that day or period.

The first step is to search the Locum directory by specifying criteria for your Locum needs. If you are unable to find the Locum that you want or no locum is available as yet, you can click the CREATE OFFER button at the bottom of your search results to setup a Practice Offer. Your offer will be live on the Practice Offers board and any qualifying locum will be able to apply. You will receive applications from Locums and you can view their profiles from there to accept/decline applications.

Practice settles payment by reviewing the invoice shared by the locum after the assignment, ensuring it aligns with the rate and payment terms as agreed via the finDR platform. The practice processes the payment to the locum’s specified bank account by the agreed date. It’s crucial for both parties to communicate effectively to avoid any misunderstandings or delays.

GENERAL FINDR FAQ’S

FinDr is an independent online platform created for freelance General Practitioners and private practices, group practices, medical centres, clinics and hospitals that enables simple and easy booking and management of GP’s for short-term appointments when you need it most. Manage current internal locums, manage your current locum positions with ease and peace of mind.

  • Locums sign up and create profiles on FinDr.
  • Practices sign up and create profiles on FinDr.
  • Registered practices can view primary locum information to make a quick decision, including area of specialisation, qualifications, hourly rates, location and available dates.
  • Practice managers and owners can select their favourite locum and book their services directly from their profile with a click of a button.
  • Practice Managers can set a locum offer on the Offers board where locums can apply to the assignment.
  • Registration and access to finDR is free for both Locums and Practices.
  • The Practice will pay a facilitation fee on confirmed bookings. The facilitation fee will be equal to 1 hour of the locum fee per booked day. Invoice will be sent on confirmation of booking.
  • The practice is responsible for settling the Locum’s fees directly with the Locum, into the Locum’s specified bank account, after an invoice is received from the locum after a completed locum assignment.

Yes, practices pay the locum directly. Once the locum has completed their assignment, they provide the practice with an invoice detailing the agreed upon rate, total amount due, payment terms, and banking details. The practice is responsible for reviewing the invoice, verifying its accuracy, and transferring the payment directly to the locum’s specified bank account by the agreed payment date.

The Locum takes full responsibility to settle all tax obligations as a provisional tax payer and/or declare any earnings from locum assignments in their yearly personal tax return. The Practice is at no point responsible for any tax obligation. The practice is required to provide the locum with a payment note or receipt after the assignment is completed.

If a practice fails to pay the locum, the locum should first contact the practice to address the issue and confirm whether there were any misunderstandings or administrative delays. If the matter remains unresolved, the locum may escalate the issue by referring to any agreement or terms of service in place, which could include involving legal channels or mediation services. It’s important for locums to keep thorough documentation, such as the invoice, correspondence, and any agreements, to support their case in resolving the payment dispute.

If a practice or a locum cancels a booking, they should notify the other party as soon as possible to minimize disruptions. The cancellation process should follow the terms and conditions agreed upon at the time of booking, which may include notice periods, cancellation fees, or alternative arrangements. Clear communication is essential to handle cancellations professionally and maintain a good working relationship. If a formal agreement is in place, both parties should refer to it to ensure compliance with cancellation policies.

According to the labour laws of South Africa any person who works for a period of 5 hours or more is entitled to a one hour lunch break.

Due to the erratic nature of work in the medical field it regularly happens that patients need care even when a locum is on a lunch break. Generally it is expected that locums will serve patients as walk-in patients at any time, and locums expect to serve walk-in patients at any time.

As this is the case, the practice will be invoiced for all the hours requested from and confirmed with their chosen locum should no lunch details be specified. Lunch time information for each booking can be specified in the booking details when the application/booking request is sent. Should an unpaid lunch be selected by the Practice the Locum may leave the premises and be unavailable for the allocated lunch time.
